What is the Mission Control Daily Digest?

The Mission Control Daily Digest is a report which gets emailed to action owners on a daily basis providing them details of their actions as follows:

  • New actions assigned to them in the last 24 hours
  • Actions due to be completed in the next 24 hours
  • Any overdue actions
How can I assign Skills?

Skills can be assigned to individuals one at a time using the skill assignments related list of the skill record or multiple skills can be assigned to an individual via the role record in the edit page or the skill assignment related list.

How do I create Holidays?

To create a Holiday record simply go to the Holidays tab and click the new button. From here you are able to give the holiday a name, specify a start and end date and link it to an individual role record if required before saving. Once saved you can use the Holiday Assignments Related list to apply the holiday to teams.

How do I disable the Mission Control Daily Digest?

You can disable the daily digest for all users by unchecking the active checkbox in the daily digest section of the Mission Control console, or if you would like to disable it for individual users this can be achieved via a checkbox on the role records.

How do I create Skills?

Skills can be recorded by going to the Skills tab and clicking the new button. From here you can give the skill a name, make it active and group it into a type such as language or certification before saving. Once saved skills can be assigned to project members using the skill assignments related list.

How do I add the Time Logger to Salesforce1?

Follow these steps to add the Time Logger to Salesforce1:

Go to > Setup > Mobile Administration > Mobile Navigation and then select the Time logger from the available section and move it in to the selected section and then click save.

You can also add or remove other tabs for Salesforce1 in this area.

How do I filter the sticky notes on the Virtual Whiteboard?

You can filter the Virtual Whiteboard to display only certain Sticky notes. You can filter by:

• Project
• Milestone
• Action Owner

You can filter by any combination of these options too. For example, I may filter to only show Project X and Project Y and only those Actions owned by Joe Bloggs.

Once you have selected the filter parameters, click the ‘Go’ button to apply the filters.

To remove the filters, click the ‘Reset’ button.

What are Teams?

The Teams object allows you to create groups of project members. For example you may want to create a team for Marketing or Directors etc. A great feature of teams is the ability to apply holiday records to teams rather than each individual. You can also use teams as a filter on the Whiteboard and Scheduler pages. Project members can be assigned to multiple teams so an individual may be in the Marketing Team, the Directors Team and the All Staff team for example.

Can I try Mission Control for free?

Yes! Mission control comes with a 14 day free trial in sandbox or production environments of Salesforce. To get the free trial simply go to the AppExchange listing, click the get it now button and follow the prompts to install. You will receive 14 days free access to Mission Control after which point the trial will expire. To continue using Mission Control after the trial expires, you will need to subscribe.

How do I change the colour of a sticky note?

The colour of a Project’s sticky notes on the Virtual Whiteboard is controlled by the picklist value selected in the ‘Colour’ field on the Project record.

To change the colour, navigate to the detail view page for the Project, click edit, select a different colour from the picklist and click save.

Why is a holiday record only showing for some project members?

When a holiday record is assigned to teams, it will appear for all project members that are part of those teams. To apply this holiday to additional project members you will need to add them to the selected teams or create new teams and add these to the holiday assignment record.

Can I test Mission Control without installing it?

Yes! We have a free online test drive environment available via the AppExchange in which you can login and test Mission Control for yourself without the need to install it. Please note that this is a publicly available test area so you should not use personal or confidential information in your test records.

How do I create a new Project?

From the Mission Control Console, use the ‘Create New Project’ section in the top left panel. You can enter the Project Name and any Milestone Names you require.

When you’ve entered the details, click the ‘Create Project’ button. The Project and related Milestones will be created and you will be redirected to the Project detail page. From here, you can add more detail to your Project and Milestones, such as Project Day Rate, Budget, Sticky Note Colour. You can also click the ‘Create Actions’ button to open the form that lets you quickly create multiple actions for your Project.

How do I create Teams?

You can create Teams by going to the Teams tab and clicking the new button. From here you can give the team a name and make it active before saving. Once saved you are able to use the Team Assignments related list to add members to the team using roles that already exist in Salesforce.

What is the price of Mission Control?

Mission Control is licensed on a ‘per user’ basis. This means you pay a monthly subscription for each user license. Mission Control costs AU$20 per user per month. Payment is via Credit Card on a monthly subscription basis.

How do I reschedule a Project?

To reschedule a Project, from the Mission Control Console, use the ‘Reschedule a Project’ section in the middle right panel. This will open the form that lets you reschedule a project.

Select how many days you want to reschedule the project by. For example, if I want to move something forward by 7 days (e.g. from 10th July to 17th July) I would enter 7. If I want to move something backwards by 7 days (e.g. from 10th July to 3rd July) I would enter -7.

Select which Milestones you want to reschedule. Use Ctrl or Shift to select more than one Milestone.

Select which Action Status values you want to reschedule. Use Ctrl or Shift to select more than one Action Status.

Click ‘Reschedule’. Once the process is complete, a notification will be displayed on screen advising how many records have been rescheduled.

Why are my Actions not showing on the Scheduler?

In order for Actions to appear on the Scheduler in Mission Control, each action must have a ‘Start Date’ and an ‘End Date’.

Depending on your requirements around Action management you may want to make these fields required on the page layout, or via validation rules to ensure that they appear on the Scheduler as desired.

You could also implement workflow rules to update these fields with values if they are left blank. E.g.: If both dates are left blank then update them with Todays date. Or, if the end date is left blank, update it with the start date.

What editions of Salesforce is Mission Control available for?

Mission Control can be installed in the following Salesforce Editions:

  • Professional
  • Enterprise
  • Unlimited
  • Force.com
  • Developer
  • Performance

If you are running a lower edition than those listed you would need to upgrade before being able to install and use Mission Control.

How do I create a new Project Role?

A Project Role is related to either a Contact or User record. Before creating the Project Role record, first ensure the Contact or User record already exists.

To create a new Project Role, from the Mission Control Console, use the ‘Create Project Role’ section in the middle left panel. This will open the form that lets you create a new Project Role where you can:

• Lookup the Contact or User record
• Enter their Project Title
• Enter their Hourly Rate
• Subscribe them to receive the Daily Digest (we recommend all Project Role records are subscribed)

Once a Project Role is created, they can be assigned to be a:

• Project Owner
• Milestone Owner
• Action Owner

Adjusting Milestone Dates

In Mission Control, the milestone start and end dates are calculated based on the actions underneath the milestone.

They are roll up summary fields which cannot be edited – You will need to adjust the dates of the underlying actions for the milestone dates to adjust.
The “Milestone Deadline” field is a field in which you can specify a indicative date on the actual milestone record.

What is a Project Role?

A Project Role is a person that can be assigned to own Projects, Milestones and Actions. A Project Role is related to a Contact or User record.

Manage Timesheets Permission

In order for users to be able to manage timesheets for other Roles in Salesforce, the “Manage Timesheets” checkbox needs to be set to True on that users Role record.

How do I log time / expenses against a Project?

From the Mission Control Console, click the ‘Log Time’ button in the bottom left panel. This will open the ‘Time Logging’ form which lets you create multiple Time & Expense records across various projects.

To add additional rows, simply click the ‘Add Row’ button. If you wish to delete a row, click the ‘Remove’ button.

Once you have created all your rows, click the ‘Submit Time’ button. A notification message will be displayed on screen advising the records have successfully been created.

How do I unsubscribe from Mission Control?

If you would like to unsubscribe from Mission Control, we require a written request with 1 months notice as per our terms and conditions.

Can I immediately notify an Action Owner when they have a new Action?

Yes, when creating an Action click the ‘Notify’ checkbox to send an immediate notification email to the Action Owner. Note, notification emails will not be sent if ten or more records are created at once.

Who do I contact if I need help with Mission Control?

Can I link an Action to a standard Salesforce.com Task?

Yes, when creating an Action click the ‘Task’ checkbox to associate the Action to a standard Salesforce.com Task record. Any changes made to the Action record will update the associated Task record. However, you cannot update the Action record by updating the Task record. All updates must be made directly to the Action record.

How do I add additional user licences?

You can request additional user licenses by sending an email to support@aprika.com.au. We will then provide you a checkout link to complete your order.

Can I link an Action to a standard Salesforce.com Event?

Yes, when creating an Action click the ‘Event’ checkbox to associate the Action to a standard Salesforce.com Event record. Any changes made to the Action record will update the associated Task record. However, you cannot update the Action record by updating the Task record. All updates must be made directly to the Action record.

What is the Risk Chart?

The Risk chart is a matrix style chart available on the project overview page which plots risks recorded against a project by impact and probability.

How do I define how the hourly costs are worked out?

For each Project, you can set whether the Project Day Rate is based on a Standard Day Rate or Hourly Rates per Project Role.

To do this, select the appropriate picklist value in the ‘Project Day Rate’ field.

If you select ‘Standard’ all hourly cost calculations will be based on the ‘Day Rate’ field value on the Project record.

If you select ‘Role based’ all hourly cost calculations will be based on the Action Owner’s ‘Hourly Rate’ field value on their Role record.

Note, it is not possible to switch from one option to the other once a project is ‘in flight’.
