Version 1.9 Release Notification

 

7th October 2016

RightTrack will be automatically updated to Version 1.9 on the night of Friday 7th October 2016.

This notification has been issued to existing RightTrack users. It contains an overview of the new features available with this release, along with instructions on how to implement the new changes.

What’s New? 

Trail Import Enhancements

The trail import page has been enhanced to set the trail import start and end dates with a default value of the first and last day of the previous month, as this is the most common requirement when importing trail files on a regular basis. Users will still have the ability to adjust the dates when importing a file so that previous files can also be imported as required. In addition to this, we have increased the number of trail records that can be imported within one Trail Import.

Property Selection Enhancements

The Property Ownership page has been enhanced to make creating a new property record simpler.

Previously, the search list that looked for matching properties and allowed you to select these from a drop down list below also required users to click on the name of the property when creating a new property record. In the new version, if you navigate away from the field without selecting anything from the list, the typed name will be kept and used without needing to select it from the list.

This change will automatically take effect when you upgrade to this newest version of RightTrack.

Loan Object Enhancements

A number of users have requested the ability to track the status and early payout dates for client loans, so we have made some enhancements to the Loan object to assist with Loan management as follows:

  • We have included a new date field called ‘Early Payout Date’ which will allow you to record the date the Loan was paid out.
  • The Loan End Date formula has also been adjusted so that if the Loan has been paid out prior to the scheduled End Date, the ‘Early Payout Date’ will be taken as the Loan End Date.
  • We have included a new currency field called ‘Clawback Amount’ to allow you to record any claw back amounts on loans that have been paid out early.
  • We have included a ‘Loan Status’ field, which will calculate the status of the Loan as either “Active”, “Paid Out” or “In Arrears”. The criteria for determining the various status types is as follows:
    • In Arrears: If there is any amount in the “Arrears” field (imported from trail files) the loan status will be ‘In Arrears’.
    • Active: If the current date is within the Loan Start and End Date and the application is at a Stage of Settled, the Loan Status will be set to “Active”.
    • Paid Out: If a date has been added to the Early Settlement Date field, and this is in the past and there are no arrears on the loan, the status will be set to “Paid Out”.
    • Pending: If the Loan has not yet started.
  • We have created some additional reports to support Loan Management as follows:
    • Loans In Arrears: All Loans that have a status of ‘In Arrears’ showing the Arrears Amount, Current Balance, Loan Start and End Date.
    • Closed Loans – Current FY: All Loans that have a status of ‘Paid Out’ for the Current Financial Year, Grouped by Month.
    • Active Loans: All Loans with a status of ‘Active’ showing Loan Amount, Start Date, Term and End Date
    • Pending Loans: All Loans with a status of ‘Pending’ showing Loan Amount, Start Date, Term and End Date, grouped by Loan Start Date.

eMOS Import Enhancements

The eMOS import feature has been enhanced so that it will assign Applicants, Guarantors & Lenders to the correct Account Record Types, regardless of whether you have implemented additional Account Record Types of your own.

Workflow Rules

Due to popular request, a number of additional workflow rules have been designed and documented for individual RightTrack users to implement if desired. These are outlined as follows:

Steps to Take

Adjust Page Layouts

The following changes should be made to your existing page layouts to ensure that you have access to the correct fields and to keep you in line with other RightTrack users. For instructions on how to adjust page layouts, please refer to the Page Layouts section of the RightTrack User Guide, which is available here: http://resources.aprika.com.au/_files/anz_userguide.pdf

Loan Layout

What to Add:

  • ‘Early Payout Date’ field
  • ‘Loan Status’ field
  • ‘Clawback Amount’ field

Create Additional Workflow Rules (Optional)

The additional workflow rules described above cannot be included in the package, but can be created by a System Administrator within your own Salesforce instance following the instructions below.

Fixed Interest Expiry Alert

This workflow rule will issue a reminder task to the application owner 30 days prior to the fixed interest expiry date of an active loan. To create this rule: GoTo Setup > Create > Workflow & Approvals > Workflow Rules and then click ‘New Rule’.

Select the ‘Loan’ object and click ‘Next’.

Complete the Rule Details as follows and then click ‘Save & Next’.

On the next page, click to ‘Add Time Trigger’

And then set the time Trigger to be “30 Days Before Loan: Fixed Rate Expiry Date” and then Save.

Now, within the Time-dependent Workflow Actions Section click the Add Workflow Action button and select the ‘New Task’ option from the drop down list.

On the next screen, complete the details of the task that will be issued when loans are approaching their fixed rate expiry dates as follows and then click Save.

Interest Only Expiry Alert

Low Balance Alert

This workflow rule will issue a task to the application owner to notify them when the balance of a Loan is less or equal to 10% of the Loan Amount. To create this rule: GoTo Setup > Create > Workflow & Approvals > Workflow Rules and then click ‘New Rule’.

Release Notification 12 August 2015

A new version of RightTrack (Version 1.8) will be released on the AppExchange on Wednesday 12th August 2015. This notification has been issued to existing RightTrack users. It contains an overview of the new features available with this release, along with instructions on how to upgrade to the new version.

What’s New? 

Interest Rate Changes

All investment type home loans currently using the “Standard Variable Rate” interest rate will now use a new interest rate stored as “Standard Variable Rate – Investment”. This is a new field on the Loan object, which will be managed via the Global Rate Manager Page. A number of additional product categories and codes have also been added.

The updated list of loan products and the rates that are used for each is outlined in the following table. All new or changed values are marked with an asterisk *. Note: The effective rate is calculated using the base rate and any fixed rate or discounted rates applicable.

Fixed Rate Management

A new “Fixed Rate Start Date” field has been created and the “Fixed Rate Expiry Date” field has been adjusted to calculate based on the “Fixed Rate Start Date” and the “Fixed Rate Period”. Where there is no value in the “Fixed Rate Start Date”, the “Application Settled Date” is used.

Statement of Position – Total Income

The last release of RightTrack included the addition of Statement of Position information stored as Asset/Liability and Income/Expense records against an application. The totals from these related records were then included in a Statement of Position section on the application. Because employment income is stored in an employment record against individual applicants and not as an “Income/Expense” record, it was not being included in the “Total Income” for the Application. This has been rectified with some new fields on the application object along with a trigger on the employment object.

Property Ownership Bug

A fix has been applied to a known bug whereby manual selection of owners via the property ownership page is limited to business accounts only.

Triggers

Employment Name  
An Employment Object trigger has been created which will fire after insert and after update or before deletion. The trigger first locates all OPEN Applications in which the Employee is an Applicant.

Then for each of these applications, it locates all applicants relating to the specific application and calculates the total employment income for each of these based on employment records that have a status of “Current Employment”. It then updates the “Employment Income” field on the application with this value.

Install Scripts

Employment Income
An install script has been created to update the employment income for all applications when this update is first installed, regardless of whether the application is at a stage of settled. This will ensure that old and current records are updated appropriately.

 

Product Code IDs
An install script has been created to update the product code ID for all existing loan records where the product code is “IVC”, “IVB”, “IAC” or “IAB”. This will ensure that the new “Standard Variable Rate – Interest” can be correctly applied to existing records.

Rate Manager Visualforce Page

The page has been updated to include a field for users to enter the “Standard Variable Rate – Investment” value. Upon values being changed and saved in this field, the page will then locate and update the value on the loan record for all current active loans. (Loans where the opportunity stage is “Settled” and the Settlement Date is greater or equal to Today and the Loan End date is less than or equal to Today.

Update your Rates

To apply the Standard Variable Investment Rate, go to the Rate Manager Page and enter the appropriate rate into the “Standard Variable – Investment” field and then click save.

A new version of RightTrack (Version 1.6.2) will be released on the AppExchange on Friday 29th May 2015. This notification has been issued to existing RightTrack users. It contains an overview of the new features available with this release, along with instructions on how to upgrade to the new version.

What’s New? 

Address History

A new ‘Address’ object has been created to allow for multiple addresses to be recorded against a person account. Address records will be created automatically via the eMOS feature.

In addition, a Trigger has been created on the address object that will update the billing address for an account if an address record is created for the account and the billing address on the account record is empty. The trigger will also populate the ‘Move In Date’ field on address records that get created or updated and have a type of ‘Current Residential’ based on the created date and the number of months and years at address.

Employment History

A new ‘Employment’ object has been created in order to capture details of multiple employment records against a person account. Employment records will also be created via the eMOS import feature. The existing employment fields on the person account object will be phased out.

Statement of Position

Two new objects, ‘Income/Expenses’ and ‘Assets/Liabilities’ have been created to allow for statement of position information to be recorded in Salesforce. With the enhancements to the eMOS import feature, records for these objects will also be created automatically for any income and expenses or assets and liabilities contained within an eMOS file. Additional fields have also been added to the application object to capture totals for each.

Income/Expenses Object

Income/Expense is a new custom object used to record details of income and expenses relating to an application. Two record types will be used to allow for different information to be recorded for income items and expense items.

Application Object

Additional fields will be added to the application object as per below. These fields have been added to the application page in a new section called ‘Statement of Position’.

Application Mailing Title

New fields and a trigger have been created to bring the first names of all applicants into one field called ‘Mailing Title’ which can be used in email templates and merge documents. The field will be updated each time the ‘Update Mailing Title’ field is checked. The field will be populated in such a way that each applicant’s first name will be included, separated by a comma or ampersands depending on how many applicants are included. This field will be automatically updated upon eMOS import.

E.g.: The mailing title for an application with four applicants would appear as ‘Tom, Judy, Daniel & Paul’, and the mailing title for an application with two applicants would appear as ‘Tom & Judy’.

eMOS Import Merge Feature

Previously the eMOS import feature has created a new record for each applicant and guarantor contained within the file. In this release we have added the ability to select existing applicants and guarantors to match the application to, preventing duplicates and the need for manual merging of accounts.

eMOS Mapping Enhancements

The eMOS import feature has been enhanced to create records for the new Address, Employment, Income/Expenses and Assets/Liabilities objects. In addition to this a number of new fields will be mapped for Accounts & Applications as follows:

Application

Lender Record Type

An additional account record type has been created to record ‘Lenders’. This record type has a refined page layout specific to capturing ANZ Branch Details such as Address and BSB. The BSB field has been removed from the general Business Account page layout. Lender accounts will be referenced and/or created via the eMOS import feature based on Postcode and BSB information.

Commission Enhancements

A new checkbox field ‘Bonus Commission Applied’ has been added to the loan record to indicate whether commission for the loan has been calculated at the bonus commission rate.

In addition to this, a ‘Default Commission Amount’ field has been added to the rate manager page to allow for changes to the default commission amount to be managed at the user level rather than being coded in.

Security Enhancements

New fields have been added to the security object and some existing fields have been named in order to provide more detailed information about security being offered against loans. These fields will also be updated via the eMOS import feature.

Bug Fixes

The following other known bugs have been corrected in this update:

  • Error Handling: User-friendly error messages will now appear if a custom validation rule is causing a problem with a trigger or Visualforce page.
  • Validation: A custom setting has been included in the package, which will allow users to create validation rules that can be bypassed by the eMOS import feature and apply to users only.
  • Trail Import: The Trail Import Success Email has been adjusted to only alert to existing loans that did not receive a trail if they are ‘Settled’, since the eMOS import feature creates loan records for all new applications.
  • Applications: The Contact Role Duplication issue upon manual assignment of contact roles and security listings has been corrected.
  • Applications: The Total Commission Formula has been adjusted to reference new commission calculation fields.
  • Loans: The effective rate formula has been adjusted to also consider the rate discount for Simplicity Plus products.
  • Loans: The Interest Only and Fixed Interest End Date formulas have been adjusted so that if there is a 0 period, the End Date’s will be blank, rather than using the Loan Start Date plus 0 which results in the incorrect effective rate being displayed on the Start Date.

RightTrack Version 1.3

Release Notification 28 November 2014

A new version of RightTrack (Version 1.3) will be released on the AppExchange on Friday 28th November 2014. This notification has been issued to existing RightTrack users. It contains an overview of the new features available with this release, along with instructions on how to upgrade to the new version.

What’s New? 

eMOS Import Feature

A Visualforce page has been created which allows users to import eMOS files directly into Salesforce.com. This import feature automates the creation of applicant and guarantor accounts, the application and loan records as well as property, property ownership and security records.

The eMOS Import will create the following records based on the particular application:

·       Application.

·       Loans for each product.

·       Properties for each asset.

·       Property Ownerships.

·       Securities.

·       Person Accounts for each applicant and guarantor.

·       Contact Roles to identify applicants and guarantors.

·       Partner Roles to identify relationships between accounts.

How It Works

To import an eMOS file, simply go to the ‘eMOS Import’ page, click the ‘Browse’ button, select your eMOS file and click the ‘Upload’ button.

Once the eMOS file is uploaded, you will be taken to the application record that was created.

Applications

The following application fields are updated via the eMOS Import:

·       Application Name

·       Account Name (Primary Applicant)

·       Total Loan Amount

·       New Money Amount

·       Stage (Defaults to Submitted)

·       Expected Settlement Date

·       Submitted Date (Defaults to date of import)

·       Upfront Commission

·       Description

Please note that as eMOS files do not contain application numbers you must enter this information manually. Application numbers are required in order to successfully import trail files.

Loans

On each of the loan records, the following fields are updated via the import:

·       Name

·       Application

·       Loan Amount

·       New Money Amount

·       Repayment Type

·       Product Category

·       Product Sub Category

·       Interest Only Period

·       Fixed Rate Period

·       Total Loan Term

Please note that the ‘Loan Account Number’ and any ‘Rate Discount’ and ‘Fixed Rate’ amounts need to be manually recorded on the loan record, as this information is not contained in the eMOS files.

Trail Import Enhancements

Field Changes

The Trail Import feature has been enhanced to allow for actual trail values to be imported. To support this enhancement the following fields have been created on the trail record:

  • Trail Actual (Currency: 16,2)
  • Trail GST Amount (Currency: 16,2)
  • Trail Actual Net (Formula: Trail Commission – Trail GST Amount)

The ‘Trail Actual’ and ‘Trail GST Amount’ fields will be populated with the actual values in the trail files via the import process. The existing ‘Trail Commission’ formula field has been adjusted to reference the Trail Actual amount if available, or if not, to calculate the commission at .15%p.a based on the number of days and portfolio balance.

Record Naming Convention

The naming convention for Trails that get imported has also changed from “Date Drawn – Loan Account Number” to “Trail Month Year – Loan Account Number” to ensure that each trail record for a loan has a different name.

Import Success Notification

An email notification has also been created which will inform users of the results of the trail import.

This email includes the following information:

  • Total Trail Records Created: Including breakdown of number of existing loan records and number of new loan records created automatically via the trail import.
  • Trail Records Not Created: All trail records that were not imported will be attached to the email in a csv, which can be reviewed and re-imported.
  • Active Loans Without Trails: The number of active loans in Salesforce.com, which did not have trails imported, including links to the records for review.

Upfront / MIP Commission Enhancements

Since brokers only receive commission on ‘new money’ that clients apply for, new fields and logic have been created on the loan and application objects as follows:

New Fields

The following new fields have been created to support the commission enhancements:

Account Fields

·       MIP (Checkbox)

·       Referrer (Account Lookup)

·       New Money Amount (Currency 16,2)

·       Upfront Commission (Rollup Loans)

·       Net Upfront Commission (Currency 16,2)

·       Default Commission Applied (Checkbox)

 

Rate Manager Page

A commission rates section has been added to the Rate Manager page, which will be used in commission calculations. Default values will be assigned as follows:

  • Upfront Standard: 0.45%
  • Upfront Bonus: 0.52%
  • MIP Commission: 0.30%
  • Equity Manager Commission: 75%

Commission Calculations

The existing Upfront Commission field is a formula field, which calculates commission as a percentage of the total amount. This has been replaced with a new currency field, which will be updated via a trigger on the Loan object. The reason for this is the broker can receive default and bonus commission amounts. If the Loan’s Upfront Commission is less than $200 then it will automatically default to $200. If this rule is applied, the ‘Default Commission Applied’ field will be set to TRUE.

If a broker writes more than $3.5m in loans during one month, the Trigger will retrospectively increase the Upfront Commission. Any records where the ‘Default Commission Applied’ field is TRUE are excluded from this logic. The ‘Over $3.5m’ bonus only gets applied to the Upfront Commission field, not the MIP Commission field. The trigger will also recalculate commission values if the Loan ‘Amount’ value changes.

MIP Commissions

As franchises can receive leads from a ‘MIP’ referrer, who will receive commission, which is automatically deducted by ANZ, RightTrack has been enhanced to allow MIP referrers to be identified and linked to applications, and to have MIP & Net Commission amounts calculated.

Person Account / Business Account Clone

Clone buttons have been created for Person and Business accounts to allow users to quickly create accounts with the same details.

Properties Enhancements

A new ‘Property Ownership’ object has been added that allows multiple Accounts to be linked to a Property. Property ownership records will be created for all of your existing property records when you install the update.

A Visualforce page has been created on the ‘Properties’ edit page that allows a Property record to be created and be assigned to multiple Accounts at once (e.g. creation of multiple Property Ownership records). To assist with property management, a custom tab has been created for the property records and a custom field set has been added to the Visualforce page so that you can add and remove your own custom fields as required.

Managing Properties

To manage property ownerships, click on the properties tab then locate and click on the property record you want to manage.

From the property record, click the ‘edit’ button.

This opens up the property management page, which allows you to edit the property detail as well as add and remove multiple property owners.

Guarantors Enhancements

To allow for multiple guarantors to be recorded against applications, the existing Guarantor lookup field will be phased out and replaced with records using ‘Contact Roles’. Installing the new update will automatically create and assign contact roles for any existing guarantors. A trigger has also been created which will automatically create contact roles for all owners of a security property linked to the application, where they are not the primary applicant. These roles will be created with a value of “Guarantor”. Here’s an example of the contact roles related list for an application:

Field Changes

As part of this release we have renamed some fields on the application and loan objects.

Loan “Amount” Field

With the introduction of a new field to track the new money portion of loans and applications, this field has been renamed to “Loan Amount”. This change will happen automatically.

Loan “Discount” Field

To make the purpose of this field clearer it has been renamed to “Rate Discount”. This change will happen automatically.

Application “Amount” Field

With the introduction of a new field to track the new money portion of loans and applications, this field has been renamed to “Total Loan Amount”. This change will not automatically take place for existing users and will require manual adjustment. (See ‘Steps To Take’ section for instructions.)

New Reports

Four new reports have been created as part of this release as detailed below.

New Report Name Description
Trail Commission – Last Month Shows all loans with a balance greater than 0 and any trails that are attached for the previous month.
Trail Commission – This FY Shows the total trail amounts by month for the current financial year.
Applications by Referrers – This FY Shows commission details for all applications with an expected settlement date in the current financial year, grouped by referrer.
Applications & Commission – This FY Shows commission details for all applications expected to settle in the current financial year, grouped by month.

In order to create these reports, a new custom report type has also been included and changes to existing custom report types have been made to include new fields.

Steps to Take

Install The Update

Two new custom tabs have been created to manage eMOS imports and property ownerships.

To apply these tabs for all users of the package, go to: Your Name > Setup > Create > Apps > Then click edit next to RightTrack

Rename Application “Amount” Field

With the introduction of a new field to track the new money portion of loans and applications, the ‘Amount’ field on the application object has been renamed to “Total Loan Amount”. This change will not update automatically for existing Salesforce.com users and will require manual adjustment.

In order to rename this field, go to: Setup > Customize > Tab Names and Labels > Locate the Opportunities Tab Name in the Standard Tabs Section and Click Edit > Click Next > Locate the Amount Field > Type ‘Total Loan Amount’ into the Singular Label cell and then click Save.

Leave the next screen as is and click the ‘Next’ button.

Click into the singular field for the Amount and change it to “Total Loan Amount” then click ‘Save’.
